Role Overview:
The Accounts and Administration Assistant will provide essential support to the Financial Controller and Administration/Accounts Executive of STDC, assisting with day-to-day financial processes, data input, and general office administration.
This role is designed to complement the existing Administration/Accounts Executive position by focusing on data entry, reconciliations, documentation collation, and administrative coordination to ensure the finance function operates efficiently and effectively.
Key Responsibilities:
Finance Support
- Assist the Accounts Executive with the preparation of payroll-related data and returns.
- Prepare supplier payments for processing as part of the weekly accounts payable pay run, ensuring accuracy and timely completion.
- Support the finance team with generating and issuing invoices, monitoring payments, and following up on outstanding balances.
- Input weekly financial data into Sage Accounts, ensuring accuracy and consistency.
- Support the preparation of monthly LEADER claims and other financial submissions to funders.
- Assist with bank reconciliations and creditor reconciliations, providing supporting schedules and documentation.
- Collate and organise financial records for audit and funder reviews, including scanning and filing relevant backup documentation.
- Assist the Financial Controller with the preparation of monthly and quarterly management accounts, year-end financial statements, programme budgets and funder reports and returns.
- Support the preparation of monthly staff travel claims and assist with the tracking of expense reimbursements.
Administration Support
- Provide general administrative assistance to the Finance function and the wider team.
- Provide support to the front reception team by assisting with overflow calls, emails, and visitor enquiries as needed.
- Support the organisation of meetings, minute-taking (as required), and document preparation.
- Maintain filing systems (both digital and physical), ensuring records are accurate and up to date.
- Assist with correspondence, reports, and the coordination of programme and office activities.
- Provide occasional cover or support for other administrative tasks within the organisation.
Skills & Competencies:
- Strong organisational and administrative skills with keen attention to detail.
- Ability to work efficiently in a busy office environment and manage multiple priorities.
- Good communication and interpersonal skills.
- Discretion and professionalism when handling confidential information.
- Proactive approach to learning and supporting team goals.
Systems & Software:
- Proficient in Microsoft Office (Excel, Word, Outlook, Teams).
- Experience with Sage Accounts/Thesaurus Payroll/CRM systems is desirable but not essential (training can be provided).
- Comfortable working with digital record-keeping and online systems.
Qualifications & Experience:
- Previous experience in an accounts administration or office support role preferred.
- Familiarity with community development or publicly funded organisations an advantage.
- Strong IT literacy and an eagerness to learn new systems.
Terms of Employment:
- Position: Part-time, permanent role
- Hours: Circa. 21 hours per week, with flexibility in the work pattern between Monday and Friday, 9:00 am – 5:00 pm
- Remuneration: Competitive hourly rate, commensurate with experience
